The nice thing about Office 365 is that it lives in the cloud and is very flexible. You can migrate small trial runs of data to a trial Office 365 subscription and figure out what might go wrong when you migrate the entire organization. In fact, you should sign up for an Office 365 trial right now.
In this step, the emails and other mailbox data in OLM file will be transferred to IMAP mailbox, before starting to upload OLM to Office 365 account. Launch Mac Outlook on the system. Right-click on the mailbox item. Click on Move Copy to Folder. Type name of the IMAP folder and hit Copy.
The trial is absolutely free, and you can be up and exploring the product in a matter of minutes.
In the past, it was difficult to gain access to enterprise software, such as SharePoint, because it took an astute tech person to set up the environment. The tech person had to find hardware capable of running the software and then install the operating system, all supporting software, and finally SharePoint.
Even if everything went as planned, the process took at least a half day and possibly a lot longer. With Office 365, you, as a business user, can go straight to the Office 365 website, sign up for a trial, and explore SharePoint in a matter of minutes!
Activate licensing when you migrate to Office 365
The process for assigning and activating licensing varies slightly, depending on whether you are using the P plans or the E plans. To add licensing, you need to add users to the plan by clicking on the Users tab.
You begin the process of adding a user by selecting the New→User button from the Ribbon of the Users screen. As you walk through the wizard, you are asked to enter information, such as the users first and last name and administrative rights the user should be assigned. In addition, you have the opportunity to assign specific licensing to the user.
Migrate mailbox data (Exchange) to Office 365
One of the most visible aspects of an Office 365 implementation is the migration of e-mail data into the Exchange Online system. To begin a migration, you use the E-Mail Migration page. You can access this page by clicking the Manage link under the Exchange Online section on the main Office 365 management page and then clicking the E-Mail Migration button.
To begin a new migration, click the New tab to begin walking through the Migration wizard. The Migration wizard will let you migrate your Exchange settings. If you are migrating from Exchange 2007 or later, the wizard will use Autodiscover to autodetect settings. If you are migrating from Exchange 2003 or IMAP, then you need to enter the settings manually.
After completion of a migration, user e-mail will be available in the Office 365 system.
A number of other tools and partners are available to assist in e-mail migration. Find these resources in the Office 365 Marketplace.
These steps show you how to migrate your files, emails, contacts, and calendar items from your school sponsored Office 365 ProPlus account to your new Office 365 Personal account for Mac.
Pre-requisites and migration procedures
These steps assume that you have the following:
-
An Office 365 ProPlus account
-
An Office 365 Personal account
-
A Mac device with enough free storage space to hold all the files, emails, contacts and calendar items that you are moving.
Step 1: Stop the existing OneDrive for Business sync client from syncing OneDrive sites
Before you start the migration process, you stop the existing OneDrive for Business sync client and uninstall it. These steps are a subset of Fix OneDrive sync problems
Before beginning, users should first confirm that the existing OneDrive for Business sync client is not actively syncing files. If it is, we recommend that users wait for those updates to finish syncing before proceeding, to give those changes time to propagate to the cloud.
Users should do the following in order to stop syncing any OneDrive sites, and prepare to set up the new sync client:
-
Confirm that any active file uploads or edits are finished and fully reflected on the website.
-
Click the OneDrive icon in the menu bar.
-
Click Quit OneDrive.
Note: Besides preserving the local files, the last step has the added benefit of intentionally invalidating any links to the documents in this folder in any of the Recent lists in the Office apps. Otherwise, users run the risk of updating these files and expecting them to sync, not remembering that they've disconnected sync for that folder.
Step 2: Clean up the local folder from the existing OneDrive for Business client and uninstall OneDrive for Business
Keep and simply rename the local folder previously created by the existing OneDrive for Business sync client.
-
Uninstalling the app will remove the app settings. For apps downloaded from the Mac App Store: In Launchpad, hold down an app’s icon until all the icons begin to jiggle, then click the app’s delete button.
-
Open Finder and rename the local folder previously used by the existing OneDrive for Business sync client (for example, OneDrive - Contoso.old).
Step 3: Export your school mailbox
![Mac Mac](/uploads/1/2/4/8/124851151/110662992.png)
In this portion of your migration you export email information to a file on your device. Be sure that you have enough room on your device to hold all the emails, contacts and calendar items in your mailbox.
-
Open your Office 365 ProPlus school mailbox in Outlook and export your email, contacts, and calendar by following the steps found in Export items to an archive file in Outlook for Mac .
Step 4: Create an email forwarding and deletion rule
After you finish the migration and are using your Office 365 Personal mailbox , your school mailbox will still be able to receive mail. To make sure that you get all email sent to your school mailbox after you migrate , you need to create a forwarding rule. The forwarding rule will send all the email to your new Office 365 Personal mailbox and then delete it from your school mailbox.
Configure the rule like this:
-
Sent to
-
To or Cc Me
-
Forward to <Office 365 Personal email address>
-
Delete
-
In Outlook on the Tools menu click Rules...
-
In the left pane, under Server Rules click the name of your Outlook profile.
-
Click the plus sign to create a new custom rule.
-
Give the rule a name, for example Forward mail from ProPlus to Personal
-
In When a new message arrives that meets all these conditions: select Sent to and To or Cc Me
-
In Do the following: select Forward To and type in your Office 365 Personal email address. Then select the plus sign to add another condition. Select Delete.
-
Click OK and close the window.
-
Click Save when you are prompted to save your changes.
Step 5: Configure an automatic 'Out-of-Office reply from Outlook for Windows
The easiest way to let people who send you email know that you have a new email address is to use Out of Office message. Be sure to select these options:
-
In Outlook on the Tools menu click Out of Office...
-
Select Send automatic replies for account and type in your message
-
Select Also send replies to senders outside my organization and type in your message.
-
Select Send to all external senders
-
Click OK
-
Quit Outlook.
Step 6: Uninstall Office 365 ProPlus
Now that you have all your email, contacts and calendar items in an Outlook .olm file and a backup folder of your school OneDrive for Business folders, you can prepare your computer for the new Office 365 Personal applications and services.
-
Remove allOffice 365 ProPlus apps from your computer by following the steps in Uninstall Office 2016 for Mac
-
Restart your computer.
Step 7: Install and configure the OneDrive sync client
The OneDrive sync client replaces theOneDrive and OneDrive for Business clients and lets you add a personal account and a business account. In this step, you will install the OneDrive sync client and connect it to your Office 365 Personal account. If you have shared folders in your school Office 365 ProPlusOneDrive and there is the possibility that they have been updated by someone after you synchronized and renamed your school Office 365 ProPlusOneDrive folder in Step 2: Clean up the local folder from the existing OneDrive_for_Business client and uninstall OneDrive_for_Business, you can connect to both accounts and synchronize current versions of your files.
-

Step 9: Configure Outlook 2016 profiles and import .olm data
The last step in your migration from your school provided Office 365 ProPlus account to your own Office 365 Personal is to configure an Outlook 2016 profile and then import your email, contacts and calendar items from the .pst file you created in Step 3: Export your school mailbox
-
Delete your Office 365 ProPlus email profile by following the steps in: Manage profiles in Outlook 2016 for Mac
-
Create your Office 365 Personal profile by following the steps in: Manage profiles in Outlook 2016 for Mac
-
